DriveRound is a mobile application owned and operated by SINCETECH LTD, a company registered in England and Wales ("SINCETECH", "DriveRound", "we", "our", or "us").

DriveRound helps learner drivers, Approved Driving Instructors (ADIs), and newly qualified drivers improve their driving through lesson recording, AI-assisted coaching, progress tracking, and lesson management.

2. Information We Collect

Depending on how you use DriveRound, we may collect the following information.

Account Information

We may collect:

• Full name
• Email address
• Telephone number
• Profile photograph (optional)
• User role (Learner Driver, Approved Driving Instructor (ADI), or Newly Qualified Driver)

Lesson Information

We may collect and store:

• Lesson dates
• Lesson duration
• Route summaries
• Lesson progress
• Instructor feedback
• AI-generated lesson summaries
• Driving skill assessments
• Test date (if provided)

AI Processing

DriveRound uses Artificial Intelligence to generate:

• Lesson summaries
• Driving feedback
• Coaching suggestions
• Progress reports

To provide these features, we may process:

• Speech transcripts (where applicable)
• AI-generated lesson notes
• Lesson metadata

We do not use personally identifiable lesson information to train publicly available AI models.

Where information is used to improve our services, it is anonymised or aggregated where reasonably practicable.

Lesson Recordings

DriveRound provides optional lesson recording features.

Raw audio recordings remain on the device used to make the recording.

Raw video recordings remain on the device used to make the recording.

SINCETECH LTD does not upload, access, or store raw lesson audio or video recordings on its servers.

Unless you explicitly choose to export or share a recording yourself, recordings remain on your own device.

The GPS route recorded with a lesson also stays on your device, unless you are an instructor using the web portal with Lesson analyses switched on. The route is then copied to your account (see section 11); with Recorded sessions switched on, every recording's route is.

Device Information

To improve reliability and application performance, we may collect:

• Crash reports
• Diagnostic information

Usage Information

We may collect limited usage information, including:

• Features used
• Session duration
• App interactions

This information helps us improve our products and services.

Subscription Information

Subscriptions are processed by:

We receive only information necessary to manage your subscription, including:

5. Who We Share Your Information With

We never sell your personal information.

We share information only where necessary to provide our services.

Linked Instructor or Learner

Lesson summaries, lesson notes and progress information may be shared between linked instructor and learner accounts.

When an instructor sends a lesson note to a linked learner, the text of the note is kept in our systems so both of them can see it, and so edits or removals by the instructor reach the learner. Voice, photo and video notes, and a lesson's recorded route attached to a note, are passed on through our systems and deleted from them once the learner's app has downloaded them.

Service Providers

We work with carefully selected third-party providers, including:

• Cloud hosting providers
• Artificial Intelligence service providers
• Analytics providers
• Customer support providers

These providers process personal information only on our behalf and under appropriate contractual safeguards.

Payment Providers

Apple and Google process all subscription payments.

SINCETECH LTD never receives payment card information.

Legal Requirements

6. International Transfers

Some of our service providers may process personal information outside the United Kingdom.

We retain personal information only for as long as necessary to provide our services and meet our legal obligations.

Raw lesson audio and video recordings remain on your own device.

SINCETECH LTD does not retain these recordings.

When you delete your account, your personal information will normally be permanently removed from our systems within 30 days, unless we are legally required to retain certain records.

Under UK GDPR you have the right to:

9. Security

Protecting your personal information is important to us.

We use industry-standard security measures including:

Because lesson recordings remain on users' devices, the amount of sensitive information transmitted to our servers is significantly reduced.

10. Lesson Recording Responsibilities

DriveRound provides optional lesson recording features.

Users are responsible for ensuring that everyone being recorded is aware that recording is taking place and for complying with all applicable laws relating to recording, privacy, and data protection.

DriveRound recommends that instructors inform learners before recording begins.

11. Instructor Web Portal

Instructors with a subscription or free trial can activate the web portal at portal.driveround.co.uk in the app (More → Activate portal). This section applies only if you do.

What we store

When you activate the portal, the information you choose is copied from your phone to your DriveRound account so you can manage it on the web:

• Lessons: dates, times, locations, fees and notes.
• Students: names, contact details, date of birth, licence number, address, emergency contact, test details and notes.
• Payments and invoices, and your invoice template.
• Bank details (sort code and account number), only if you switch this on.
• Progress ratings and lesson summaries.
• Your text lesson notes, whether or not you sent them to a learner (with Shared lesson notes on).
• Your AI lesson analyses, and the GPS route recorded with each one, stored as a route file in a private folder only you can open (with Lesson analyses on).
• Your expenses and mileage: expenses and other business income (date, amount, category, description, supplier, business use), mileage trips (date, miles, purpose, start and end place, and whether it came from a GPS recording), and how you claim your car for each tax year (with Expenses & mileage on; it stays off until you switch it on).
• Your saved routes (My Routes): each route's name, description, category, tags, distance, time, test centre, folder, markers with their notes, and the route line (with My routes on; it stays off until you switch it on). Deleting a route in the app removes it from the portal.
• Your recorded sessions: each GPS Audio Logger recording's name, date, duration and distance, and the GPS route driven, stored as a route file in the same private folder (with Recorded sessions on; for a portal activated before this option was added, it stays off until you switch it on). Deleting a recording in the app removes it from the portal.

Lesson audio and video, and voice, photo and video notes, stay on your phone.

You can choose to share a lesson's route with a linked learner as part of a lesson note. A copy of the route file is then passed to the learner's app and deleted from our systems once it has been downloaded.

We also keep a record of when you accepted the portal terms and this notice.

If you accept analytics cookies in the portal, we use Google Analytics to count how many instructors use it and which pages they use. It identifies you by a one-way code made from your account (not your name or email) and is not used for advertising. You can decline, or change your choice at any time in the portal's Settings. See our Cookie Policy.

Why, and who can see it

We store this information to provide the portal and keep it in sync with the app, as part of our contract with you. Only you can access it, when signed in to your account. If a student has linked their DriveRound account to you, the lessons and progress you share with them continue to be shared with them as they are today.

For the students you record, you decide what is kept and why. We store it on your behalf.

Where it is stored

Portal information is stored with Google Firebase, which we already use to run DriveRound, and is protected in transit and at rest. The portal website is hosted by Railway, in the EU.

Maps

To draw a route on a map, the portal loads map images from OpenStreetMap, Esri (satellite) and OpenTopoMap (terrain), and the app uses Google Maps or Apple Maps. As with any online map, these providers receive your IP address and the map area being viewed. The route itself is not sent to them.

Your choices

• Switch any feature off, or deactivate the portal, at any time in the app.
• If your subscription or trial ends, portal information is kept for 90 days and then deleted. Information on your phone is not affected.
• Deleting your account deletes your portal information.

12. Children's Privacy

DriveRound is intended for individuals who are legally permitted to learn to drive in the United Kingdom — from age 17 for cars (a provisional licence may be held from 15 years 9 months).

Because some users may be under 18, those users should ensure they have any parental or guardian permissions required under applicable law before using features such as lesson recording and AI analysis.

Our website may use cookies and similar technologies to:
